Overview
Surmount Public School ("we", "our", "the School") is a primary school located in Brahmpuri, North East Delhi, India. We operate this website and collect personal information as part of providing admissions, educational, and communication services to families.
This policy explains honestly and plainly what information we collect from parents, guardians, and prospective families; why we collect it; who can see it; and what rights you have over it. We comply with the Digital Personal Data Protection Act, 2023 (DPDP Act) and the DPDP Rules, 2025, as applicable to educational institutions in India.
We do not sell, rent, or trade your personal information to any third party.
What We Collect & Why
Admissions Enquiry (Website / WhatsApp)
When you contact us through our website, WhatsApp, or phone:
- Parent / guardian name — so we know who we are speaking with
- Phone number — to call or WhatsApp you back
- Child's name and approximate age / class — to confirm eligibility and available seats
- Email address (if provided) — for sending written information or confirmations
Formal Admission Registration
When you formally apply for admission, we collect the following as required by the Directorate of Education (DoE), GNCT of Delhi:
- Child's full name, date of birth, gender
- Parent / guardian full names
- Residential address
- Proof of address — any two of: Aadhaar card (parents'), Voter ID, ration / smart card, domicile certificate, electricity / water / telephone bill, passport
- Birth certificate of the child (original seen, photocopy retained)
- Passport-sized photographs (child and parents)
- Previous school records / Transfer Certificate (transfer students only)
We collect only what the DoE and school administration require. We do not collect children's Aadhaar numbers unless specifically mandated by a government directive.
Career Applications
When you apply for a position at the school via our Careers page, the information you submit (name, contact details, position of interest, experience, cover letter) is sent directly to our WhatsApp for review. We retain this information only for the purpose of evaluating your application and communicating with you about the role.
Children's Data & the DPDP Act, 2023
As a school, all students we admit are under 18 years of age, which means all student data is classified as children's personal data under the Digital Personal Data Protection Act, 2023 (DPDP Act).
Our obligations under the DPDP Act:
- Purpose limitation: We use student data only for direct educational and administrative purposes — enrolment, attendance, academic progress, regulatory reporting, and school–parent communication.
- Data minimisation: We collect only the minimum information necessary. We do not build profiles of children, track their behaviour online, or use student data for advertising.
- No targeting or profiling of children: We do not engage in targeted advertising, behavioural monitoring, or any form of profiling of students. This is prohibited under Section 9(3) of the DPDP Act.
- Parental consent: By enrolling your child and submitting the admission registration form, the parent / guardian provides consent for the School to process the child's personal data for educational and administrative purposes. This consent is recorded as part of the admission paperwork.
- Retention and erasure: Student records are retained as required by DoE regulations. Upon a student leaving the school and all regulatory obligations being fulfilled, data that is no longer required is securely deleted. Parents may request deletion of non-regulatory data at any time (see Contact section).
Educational institutions processing data for core educational purposes benefit from specific exemptions under Rule 11 and Schedule IV of the DPDP Rules, 2025. Our use of student data falls within those exemptions. However, we go beyond minimum compliance because we believe transparency is foundational to the trust parents place in us.
WhatsApp Communication
We use WhatsApp as our primary communication channel. When you message us or we reach out to you on WhatsApp:
- Conversations are stored in WhatsApp's infrastructure, governed by Meta's WhatsApp Privacy Policy, which is separate from this document. We encourage you to review it.
- We may retain WhatsApp message records within our school administration for continuity — for example, so a different staff member can pick up a conversation.
- We do not export or store your WhatsApp messages in any third-party database beyond WhatsApp itself.
- When you submit a career application or contact form on this website, you are redirected to WhatsApp with a pre-filled message. The moment that message is sent, it is subject to WhatsApp's privacy policy in addition to ours.
DOE-Mandated Document Handling
Certain documents are collected not by our choice but because the Directorate of Education, Government of NCT of Delhi, requires them as part of the school admission process. These include:
- Birth certificate (original verified, photocopy retained)
- Proof of age and residence
- Photographs
- Transfer Certificate (where applicable)
How we handle these:
- Original documents are verified in-person and returned immediately after verification.
- Photocopies are stored in locked physical files accessible only to the school Principal and administration staff.
- Digital scans, where taken, are stored on password-protected school systems.
- These records are retained for the duration required by DoE regulations and deleted securely thereafter.
Marketing Communications & Opt-In
We may send you updates about admissions, school events, and educational tips via WhatsApp or phone — but only if you have opted in. Opt-in occurs when you:
- Tick the consent checkbox on our enquiry or admission form, or
- Initiate a conversation with us via WhatsApp yourself.
We do not purchase contact lists, import third-party databases, or access the contacts stored in your phone. We collect only the information you directly provide to us.
You can opt out of marketing messages at any time by replying "STOP" on WhatsApp or by calling or emailing us. Opting out of marketing does not affect any essential admissions or school-related communication.
We do not use student data — or the data of any minor — for marketing purposes whatsoever.
Your Rights Under the DPDP Act, 2023
As a parent, guardian, or individual whose data we hold, you have the following rights:
Right to Access
Request a summary of personal data we hold about you or your child, and the purposes for which it is used.
Right to Correction
Ask us to correct inaccurate or incomplete information.
Right to Erasure
Request deletion of data we no longer need for the stated purpose or that is not legally required to be retained. We process deletion requests within 30 days.
Right to Withdraw Consent
Withdraw your consent to marketing communications at any time without affecting other services.
Right to Grievance
File a complaint with us directly. If unresolved, you may escalate to the Data Protection Board of India once it is fully operational.
Right to Nominate
Nominate another person to exercise your data rights on your behalf in the event of death or incapacity.

Policy Updates
We may update this policy to reflect changes in law, our practices, or services. When we do, we will update the "Last updated" date at the top and notify enrolled families through our usual WhatsApp communication. We encourage you to review this policy periodically.
